The Linked Organization Role offers a dynamic way to manage user access rights within V-Suite by leveraging your existing external (typically Active Directory) groups. Just like a standard organization role, a Linked Organization Role determines which data its members are allowed to see and modify. However, instead of manually adding users to these roles in V-Suite, the Linked Organization Role automatically populates its members based on associations with external groups.

You can add a new linked organization role via the Organization Roles application. The Organization Role Application can be accessed via the Project Administration icon on the V-Suite home page.

Click the new linked organization role icon. This displays the New Linked Organization Role form which lets you specify the following:

  • A list of Linked External Groups
  • Organization Role properties

Linked Groups List

Use the Linked Groups list to associate one or more external groups to a Linked Organization Role.

  • To add a new external group to the list, click the Search Directory button. This action will open the Select Linked Group dialog, where you can search for and select the external group you want to associate.
  • To remove an external group from the list, click the Delete icon in the Action column.

Organization Role Properties

An organization role has the following properties:

  • Role Name - The name of the organization role. This field is required and must be unique.
  • Description - The description of the organization. This field is optional and may be left blank.

Be aware that the Linked Organization Role functions differently from the standard Organization Role. Unlike the latter, you cannot manually assign members to the Linked Organization Role. Members are automatically added based on the selection of associated External Groups.

Once you've made your selections and associated the desired external groups to your Linked Organization Role, click the Save button at the top of the form. Doing so will initiate a process where V-Suite retrieves the list of users from the associated external groups. These users will then be automatically saved as members of the Linked Organization Role, ensuring the role's membership within V-Suite reflects the current state of the external groups you've linked.
