Workspaces in the asset database are intended to be tailored for specific groups of users and their work processes, and so the set of workspaces should be carefully planned and organized by project administrators. Workspaces can be organized by creating new assets or by sharing assets among workspaces.

There are a few things to keep in mind when organizing each Workspace:

  1. Take advantage of templates so that each discipline can work with a different set of asset types. This will allow users to work with the data using their own discipline-specific terminology, and it will also improve searching. More information on templates can be found here.
  2. Remember to set the appropriate relations between templates and the workspaces they can belong to. Also, remember to set the correct Access Rights in order to share or create new assets.
  3. Authorizing functions, including changing workspaces, are always performed against a work order or standing task, and always in a Work In Progress (or WIP) view that, until it is published, is only visible to users working in the work order or standing task.
  4. When organizing the model, the Search feature is helpful to find assets in other workspaces.
  5. You can use Macros to organize workspaces based on attributes.
